Advanced Applied Science LLC, operating as XIVG.AI ("XIVG," "we," "us," or "our"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at xivg.ai or engage with our services. Please read this policy carefully. If you disagree with its terms, please discontinue use of our site.
Information We Collect
We collect information you voluntarily provide to us when you:
- ›Contact us - name, email address, phone number, and the content of your message via our contact form
- ›Request services - business name, business type, size, and operational details needed to configure and deploy AI employees for your organization
- ›Engage in onboarding - account credentials, integration access tokens, and system configuration details necessary to deploy your AI employees
- ›Schedule a call - calendar availability and contact preferences
We may also automatically collect certain technical information when you visit our website, including IP address, browser type, operating system, referring URLs, and pages visited. This data is used solely for analytics and site improvement.
How We Use Your Information
We use the information we collect to:
- ›Respond to your inquiries and provide customer support
- ›Deliver, configure, and manage AI operations services on your behalf
- ›Send service-related communications including updates, invoices, and operational reports
- ›Improve our website and service offerings based on usage patterns
- ›Comply with legal obligations and enforce our agreements
We do not use your information for AI model training, data brokering, or any purpose beyond delivering the services you've requested.
We Do Not Sell Your Data
We do not sell, rent, trade, or otherwise transfer your personal information to third parties for their marketing or commercial purposes. Period. Your data belongs to you.
Cookies and Analytics
Our website uses cookies and similar tracking technologies for basic analytics purposes. Specifically, we use:
- ›Google Analytics - to understand how visitors interact with our site (pages viewed, time spent, traffic sources). Data collected is aggregated and anonymized where possible.
- ›Google Ads - to measure the effectiveness of our advertising campaigns.
You can control cookie behavior through your browser settings. Disabling cookies may affect some site functionality. We do not use cookies to track you across other websites or build advertising profiles.
Third-Party Services
In the course of delivering services, we may work with trusted third-party providers, including:
- ›Payment processors - to handle billing for setup fees and monthly retainers. We do not store your full payment card details. Payment data is processed under the payment processor's own privacy and security standards (e.g., PCI-DSS compliance).
- ›AI infrastructure providers - the underlying AI platforms and APIs used to power your AI employees. Your operational data is processed through these services subject to our service agreements with them.
- ›Communication platforms - for scheduling, email delivery, and client communication.
We only share information with third parties to the extent necessary to deliver your contracted services or comply with legal requirements.
How XIVG AI Employees Use Google User Data
Some XIVG AI employees can connect to a customer's Google account - either a Google Workspace account or a personal Google account - so they can carry out the tasks the customer has configured. This connection is created only with the account holder's explicit authorization through Google's OAuth consent screen, and the customer can revoke it at any time. This section explains exactly what Google user data XIVG accesses, how we use it, and how we protect it. It supplements, and does not replace, the rest of this Privacy Policy.
When a customer connects a Google account, they grant the AI employee access to one or more of the following:
- ›Google Calendar - reading calendars and free/busy availability, and creating, updating, or canceling events and invitations. Used for scheduling, appointment booking, and reminders.
- ›Google Drive - a limited, per-file permission. The AI employee can access only files it creates in the connected Drive, or files the customer specifically opens with or shares to XIVG. We cannot see, browse, or access any other files in the customer's Drive.
- ›Google Sheets - reading and writing spreadsheet content. Used for logs, trackers, reports, and similar operational records.
- ›Google Docs - reading, creating, and editing documents. Used to draft and update documents on the customer's behalf.
- ›Google Slides - reading, creating, and editing presentations. Used when a customer asks an AI employee to prepare or update slide decks.
- ›Basic account profile - the connected account's name, email address, and Google account identifier, used to identify the account and maintain the connection.
XIVG does not request access to Gmail or to any other Google service not listed above.
How we use it. We use Google user data solely to operate the AI employees a customer has configured and to perform the specific tasks they direct - for example, booking a meeting, updating a tracking spreadsheet, or drafting a document. We never use Google user data for advertising, and we never sell it.
AI processing. Performing these tasks requires sending the relevant Google data to the AI infrastructure providers that power XIVG AI employees (see Third-Party Services above). Those providers process the data only to complete the requested task and are contractually prohibited from using it to train or improve their models. XIVG does not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.
Storage and retention. Google access and refresh tokens are stored encrypted and are used only to maintain the authorized connection. Google user data is retained only as long as needed to perform the customer's tasks and deliver the service, and is deleted or anonymized when it is no longer needed or when the customer disconnects the account.
Human access. XIVG personnel do not read Google user data except where necessary for security, to resolve a support request the customer has raised, to comply with applicable law, or with the customer's explicit consent.
Revoking access. A customer can disconnect a Google account from XIVG at any time through the XIVG dashboard, or by removing XIVG's access in their Google Account security settings at myaccount.google.com/permissions. Revoking access immediately stops all further data access.
XIVG's handling of Google user data complies with the Google API Services User Data Policy, including its Limited Use requirements:
XIVG's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Phone Calls and SMS from Our Sales and Client Teams
XIVG sales representatives and client success staff use individually assigned business phone numbers (managed through our HubSpot CRM) to place calls and send text messages to prospects, leads, and clients who have provided their phone number to XIVG and indicated that phone or SMS is an acceptable channel of communication (for example, by submitting a contact, demo, or pricing request form that includes a phone field, by checking a consent box, by requesting a call back, or by previously communicating with us by phone or text). In connection with these communications, we collect:
- ›Your mobile or landline phone number
- ›A timestamped record of how and when you provided that number and your consent to be contacted by phone and/or SMS, including the form, page, or conversation in which it was captured
- ›The content and metadata of SMS messages and phone calls between you and our team (message body, call duration, timestamps, delivery status, and carrier information) stored in HubSpot so the assigned representative has continuity of conversation
- ›Your stated preferences for how, when, and how often you want to be contacted
We use this information solely to: (1) return your inquiry by phone or text when you have asked us to; (2) schedule, confirm, and follow up on sales conversations, demos, and onboarding sessions; (3) answer your questions and share information you have requested; (4) provide ongoing relationship management to active clients; (5) maintain an accurate record of our conversations in HubSpot so a representative familiar with your account can assist you; and (6) honor opt-out requests and comply with carrier and regulatory obligations. SMS messages are transmitted on our behalf by Twilio strictly for carrier delivery, and call and message records are stored within HubSpot, our CRM provider, strictly to deliver the services described above.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of information described elsewhere in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You can stop receiving SMS messages from any XIVG representative at any time by replying STOP to any message. For assistance, reply HELP or contact us at hello@xivg.ai. Message and data rates may apply. Full SMS program details, message frequency, and support information are provided in our Terms of Service.
Data Security
We implement industry-standard technical and organizational security measures to protect your information from unauthorized access, disclosure, alteration, or destruction. All data transmission occurs over encrypted connections (TLS/HTTPS). Access to client data is restricted to personnel who need it to perform their job duties.
No method of electronic transmission or storage is 100% secure. While we take data protection seriously and maintain rigorous practices, we cannot guarantee absolute security.
Data Retention
We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, maintain our business relationship, and comply with applicable legal obligations. When data is no longer needed, we securely delete or anonymize it. You may request deletion of your data at any time (see Contact section below).
Your Rights
Depending on your location, you may have rights regarding your personal information, including:
